Exchange Transfer Procedure

 *PROCEDURE FOR PROCESSING A TRANSFER ON EXCHANGE BASIS*


You just found a swap mate? Congratulations!

But how do you process it? Here is a step by step procedure:

NOTE: The procedures outlined here can as well apply to other ministries too though supervising officers and other office bearers may have different titles.*



 Start by writing an application letter of transfer. Address your letter to your Provincial Education Officer(PEO). For the format on how to write a transfer exchange letter, click on this link 👉 wa.me/260979402892 and request for a format.

  Your letter can either be typed or hand-written, there is no rule.

 Once you write your letter, you can take it for endorsement to your Head teacher. Depending on prevailing circumstances, your application for a transfer can be rejected and reasons given. If your administrators do not have any objections, I signature shall be appended anywhere on your letter with a date stamp put.

 Once this is done , make at least four copies and remain with the original. Get one copy and send to your swapmate. You can have it scanned by using a scanner or download a camscanner App on Google Play Store as scan and send to your swapmate as a soft copy.

  Next stage is simply attaching your transfer letter and tha of your swapmate and  take them to DEBS. All these processes can take less than a week but of course depending on circumstances.

Usually DEBS office will only write a covering letter to confirm your pmec Id availability and where it is domicile, and may not object to your transfer unless under excruciating circumstances.

Once your covering letter is prepared, you can  request to take it the Provincial office.

At the Provincial office(PEO), your application for a transfer on exchange will be finally be approved and you shall be written(authority letter) to that you  have been transferred.

If your transfer is with someone outside the province, your provincial office(PEO) will have correspondence with the other provincial office where your swap mate is based to confirm PMEC IDs for both of you. Authority letters of transfer shall be written to you once confirmation is done.

Upon receiving your transfer letters, make sure you start clearing, starting with your school,then DEBS and finally PEO. Your PEO in the province you are moving to will then deploy you to the former district of your swap mate by writing an introductory letter which you must take to your new DEBS office for further deployment.
